Terms and Conditions

Bookings and Payments

  • All payments for accommodation must be made before arrival by bank transfers or Western Union and to be received in EC dollars. Please be aware that overseas payments may incur bank fees and so the balance required will include these additional costs to ensure that the full payment is received.

  • Payments for meals may be paid before arrival or during your stay but need to be made before the meal is provided. For guests choosing self-catering, payment for groceries will be requested at least one week before the start of your stay. All payments for food and services are non-refundable. 

  • A non-refundable deposit of at least 10% is required at the time of booking to secure your stay.

  • The remaining balance may be paid at any time after booking but must be received no later than four weeks before your arrival. Payment by instalments can be arranged if this is helpful.

  • For bookings made less than four weeks before the start of your stay, full payment is required at the time of booking.

  • Bookings will be cancelled if payment is not received within the required timeframes.

  • If you wish to use a voucher or credit note as part of your booking, please contact us directly after paying the deposit online so we can apply this to the balance. Vouchers or credit notes cannot be used once a booking has been paid in full.

  • Payment for additional services or activities is due prior to the event rather than at the time of booking accommodation. These payments are non-refundable.

  • All personal information provided by guests is stored securely and used solely for the purposes of the retreat house. We take your privacy seriously and handle all personal data in accordance with Grenada data protection laws and our professional code of ethics.

 

Cancellations and Changes

  • We strongly recommend purchasing travel insurance at the time of booking to cover potential cancellation costs.

  • We understand that unexpected things can happen in life. Any cancellations or request to change dates must be made in writing as soon as is reasonably possible and will be subject to the following conditions:

You can change your dates at no cost, subject to availability, up to four weeks before your stay. 

Changes made less than four weeks before arrival, will incur a fee of 20% of the total booking cost. 

Cancellations made at least four weeks before arrival will receive a refund of all payments made, excluding the 10% deposit.

Cancellations made between two and four weeks before arrival will receive a credit note (less the 10% deposit), valid for 18 months.

Cancellations made less than two weeks before arrival will receive a credit note for 50% of the amount paid (less the 10% deposit), valid for 18 months.

         Failure to arrive without prior notice will result in no refund or credit.

If retreat fees have increased at the time a credit note is redeemed, the difference in price will be payable.

  • Staff reserve the right to apply the above in all circumstances including bereavement, injury, illness or death

  • No refunds will be given for early departure during your stay.

  • You may pass on your place to another person if this is agreed with the retreat house manager prior to the pre-retreat online session.

  • You may transfer your credit note or voucher to another person and they can use this to make a booking but this needs to be communicated to the retreat house manager before the booking is made and a transfer can only be made once.

  • Please contact us if you’ve been unable to use your credit note in the allotted time. In some cases, we will be happy to extend the credit note.

  • Vouchers and credit notes have no cash value and cannot be exchanged for cash, in whole or in part. 

  • Vouchers and credit notes will be issued electronically to reduce the chance of loss. If we are unable to find a record of the voucher or credit note due to incorrect information or contact details given then the retreat house cannot be held responsible. 

  • Please note that there are no refunds available if you are dissatisfied with the retreat house or any related services. 

  • To the best of our knowledge, the products and service descriptions on the website are accurate and up-to-date, but we are continually working to improve our services and so changes may be made from time to time which may not be reflected on the website. We include images of accommodation on our site to help you with your selection. However, slight variations should be expected. We reserve the right the change the details of the retreat house and what is on offer at any stage if operational needs require this. 

  • The retreat house staff and Hummingbird HOPE are not responsible for changes made to partner services or other services mentioned or linked to our website.

  • The retreat house staff and Hummingbird HOPE will not be liable to you for any breach of our agreement, for delay or failure to perform if the delay or failure is due to adverse weather, civil commotion, riots, floods, drought, fire, legislation or other cause beyond our reasonable control. This does not affect your statutory rights. If we choose not to enforce a right under our agreement, that decision will not prevent us from enforcing other rights, or the same right on a later occasion. Our agreement will be governed by Grenada law and any disputes will be resolved non-exclusively by Grenada courts.

  • We will always endeavour to fulfil our commitments to our guests and provide their retreat as booked. However, in exceptional circumstances, we reserve the right to cancel or postpone any retreat stay. Should this occur, we will endeavour to offer suitable alternatives. For this reason we advise all guests to have travel insurance.

  • No refunds or reductions are made for tours, meals or in-house services that are booked but not taken.

Responsibilities of Guests

  • As part of the booking process, you will be asked about any relevant health information. This helps us to support you appropriately and be aware of any potential health risks during your stay.

  • If you are unwell prior to arrival or during your stay, you must inform the retreat house manager. Staff reserve the right to refuse participation in activities if this is necessary for your wellbeing or the wellbeing of others. If you have an infectious or contagious condition, we may ask you to go home (if you are fit to travel), without a refund, in order to protect other guests. 

  • Please seek medical advice about recommended vaccinations. At the time of writing there are no mandatory vaccinations, but people are often advised to be up to date with their tetanus booster and to consider getting a rabies vaccination.

  • You are responsible for assessing your own level of fitness and ability to use the outside stairs and to decide on walks and other activities when you are staying here. All tours and activities carry inherent risks of sickness, bodily injury, death, psychological image, financial and property damage or loss. By attending any activity or using any aspect of the retreat house, the guest agrees to take responsibility for their own safety and wellbeing, assess these risks and to not hold Hummingbird HOPE, the retreat house staff and any related workers or local partners from any and all claims. Hummingbird HOPE, retreat house staff, and associated partners cannot be held liable for injury, illness, loss, or damage arising from participation.

  • All emails to you will be forwarded to the address you specify to us. It is important that you provide an accurate and valid email address. We will not be responsible for failure to perform under this agreement where such failure is attributable to a change of address.

  • Any damage caused directly or indirectly, to the retreat house, gardens, or contents must be reported promptly to the retreat house manager and paid for directly.

  • To minimise damage and avoid pests, food should only be consumed in the dining room or outside.

  • Please familiarise yourself with the fire exits and fire procedures and do not use candles, matches, incense or any other fire hazards.

  • Lost items such as keys, borrowed books or other items are to be paid for by yourself directly to the retreat house manager.

  • All guests are responsible for their own personal medical requirements, clothing, footwear and any other personal items which they need for the duration of their stay. Hummingbird HOPE and the retreat house staff cannot accept liability for loss or damage to any property belonging to any person or organisation whilst on any part of the site. Lost property will be kept for a maximum of 30 days if no one reports the item missing. 

  • Smoking including the use of vapes and the use of any drugs including cannabis is prohibited within the house and gardens of Hummingbird Retreat House. Alcohol use is permitted in moderation. The retreat house staff reserve the right to ask guests to stop using alcohol and or ask the guests to leave if they are using substances or their alcohol use is deemed to be excessive or could affect other guests. 

  • Guests are not permitted to invite other people into the house, without the permission of the retreat house manager.

  • Guests often come here to be in silence. If you wish to talk to someone, please speak to the staff rather than other guests. We ask guests to respect the privacy and space of other guests. Conversations with other guests should only occur with mutual consent and consideration to other guests. 

  • We ask that you support the ethos of the house by ensuring that this is a quiet and contemplative space and to keep noise down to a minimum.

  • We ask guests to take care of the amenities and maintain a respectful attitude to the environment and fellow guests, keeping shared spaces clean and tidy at all times. 

  • We do our best to offer you an enjoyable stay. However, if you have any complaints about any services supplied, please contact the retreat house manager for our complaints procedure.
